# AI assistant and actions
How the AI assistant is metered in monthly actions, what counts as one, and where your data goes.

Formbear’s AI assistant helps you build forms, refine questions, understand responses, and answer questions about your workspace from the assistant panel. Every plan can use it, metered in actions: 5 per workspace per month on Free, 100 on Pro.

## What counts as an action

- Generating a form with AI form generation
- A question to the assistant panel, however many lookups it makes to answer (asking it to create a form is one action too)
- A summary digest in AI response analysis

Each of these costs one action, however many results it returns. Viewing something the assistant already generated is free: you only spend an action to produce something new, or to refresh a result after new responses have come in.

If a request fails, its action is refunded: you are never charged for something that did not come back. Stopping a request you already sent is not a failure, so it still counts. Choosing not to apply a suggestion does not refund it either: the work was done, you just decided against the result.

## Editing a form with the assistant

Ask the assistant to change a form (“make the rating a 5-point scale”, “add a phone number after the email”, “remove the last question”) and it answers with suggested changes: a list of what it would add, change, move, or remove, each one you can leave out. Nothing touches the form until you press Apply. In the editor the changes land on the canvas and save like your own edits; anywhere else they save straight to the draft, and a published form only changes once you publish again. Every apply is a version in revision history, so on Pro a wrong suggestion is one restore away. Removing a question people have already answered is flagged before you apply.

In the editor, Improve on a question and Suggest questionsby the add-block control are shortcuts to the same conversation. The assistant cannot publish, delete, or change a form’s settings or design.

## Data handling

AI features work from your prompt, the structure of your forms, workspace summaries such as the form list and aggregate analytics, server-side response aggregates, and a bounded sample of responses, never your entire response set. When a workspace member uses an AI feature, that data is processed in the EU by Mistral AI, headquartered in France; it is used only to answer the request and is never used to train AI models.
